Check your Spend payments

My Spend tab is where you can find all payments made with your Spend cards. Each transaction line shows:

  • The transaction date
  • The name of the card used to make the payment
  • The card's last 4 digits
  • The supplier who was paid
  • The transaction amount

In the Supplier column, you will find the supplier automatically categorised. This will feed your card spend data analysis within the Spend card interface.

Find your payments with Quick views and Advanced filters

Quick view buttons

There are three Quick view buttons so you can navigate between:

Screenshot (3).png   Not submitted - the list of payments that have not been sent for bookkeeping

Screenshot (4).png   In review - the list of payments that are flagged by your Finance team for further review

Advanced filters

For advanced filtering rules, you can click open Screenshot (1).png to find your payments by date, card, supplier, and supplier category. 


Submit your payments for reconciliation

For all the payments that took place on your cards, you have to upload the receipt and submit the payment so that your Finance team can reconcile the transaction.

Clicking on a transaction will open a side panel in which you can upload a PDF, PNG, JPG, or HEIC file as a receipt and add any comments needed:

Once you've filled this out, click Submit to send your payment over to your Finance team. Note that after submitting, you won't be able to edit the comment or upload a new receipt file. 

Changes requested for your Spend card payment?

As your team reviews your payment, if they need a bit more context or a clearer receipt, they may request a change.

  1. You will receive an email notification detailing exactly what needs to be updated.
  2. Follow the link in the email to open your Spend card payment. You can upload a new receipt or update your comments as requested.
  3. Save your new comment or receipt before clicking Submit again.

Check the accounting status of your payments

Once you've submitted your payments for review, you can see the accounting status of each payment:

  • Waiting - In the queue to be reviewed by your Finance team
  • To review - Marked for further review by your Finance team
  • Ready - Your Finance team has reviewed the payment and is ready to be pushed to your external accounting software
  • Archived - Payments which have already been pushed to your external accounting software
