Choose what information to send to NetSuite

Cledara's integration with NetSuite simplifies your accounting process by automatically syncing vendor bills, vendor payments, and attachments to your NetSuite account.

Once you've connected Cledara to your NetSuite account, the NetSuite settings tab will appear when you click into your applications:

There, the App Owner, Team Manager, Admins, and Finance users can determine what information to push to NetSuite:

  • When you choose to push vendor bills to NetSuite, additional fields will appear for further customisation:

  • Vendor payments and files (invoices uploaded to Cledara) will be pushed by default, but you have the option to disable each separately.

    If Bill payments are not pushed, your Bills will remain Open in NetSuite.

  • Memo, if left empty, will populate the transaction description you see in Cledara and be pushed to NetSuite's Memo column.

Once this form is completed and saved, any future transactions for this application will be pushed automatically to NetSuite once they are settled.

Note that the bill payment will not be pushed if the transaction amount is zero.

Cannot find your vendors?

The dropdown lists are pulled directly from your NetSuite account. If the vendor is in your NetSuite account, but you do not see the vendor in the Cledara dropdown, refresh your browser tab so we can pull a fresh list from the integration.

You will not see your vendor if it is created in a currency different from your Application currency, or if it is created in another subsidiary.

NetSuite only accepts transactions that are in the same currency as the account. Even if your vendor charges you in a different currency, say USD, the money is still taken out of your Cledara account in either GBP or EUR. Therefore, you will have to create the vendor in GBP or EUR to push the transaction to your NetSuite account. 

Cannot find your custom fields?

Currently, we do not yet support custom fields. If your custom fields are mandatory, your transactions will not be pushed to NetSuite. These will be supported in an upcoming release.

 

How it will look in your NetSuite account

In NetSuite, your transactions will appear under Expenses > Purchases > Bills:

The NetSuite vendor, category, department, and class will be reflected in Expenses and Items:

If you are pushing invoices to NetSuite, the invoice uploaded to Cledara will come under Communication > Files stored in the invoice folder you selected:
