Every application for recognised software vendor in Cledara has its own Cledara Agent tab, where you delegate that application and control what Cledara Agent can do in it. This article explains how to set it up and what each status means.
By default, the user permission for managing Cledara Agent is as follows:
App Owners and Access Owners can manage who can assign actions for each application in Cledara Agent › Access control.
Delegate application to Cledara Agent
Step-by-step guide
Create a dedicated user in the application
Use the unique email address shown on the Cledara Agent tab; it should be not reused elsewhere in your stack.
Assign it whatever role or permissions that cover the actions you want to delegate, such as inviting and removing users, downloading invoices, updating card details, or changing a plan.
In most tools, this means an Admin or Billing role. If you are unsure, start with a narrower, billing-scoped role and widen it only if a task needs more.
Select Confirm access
This tells us the invite has been sent. Cledara will set up the password and two-factor authentication, and verify access.
Wait for confirmation
Once access is verified, the application moves to Managing, and you can start delegating actions.
Cledara Agent only carries out the specific tasks it's been asked to do. They do not monitor the inbox.
Keep your own admin email as this application's primary and billing contact, and let the agent's address exist purely as a login identity.
That way, security alerts, renewal notices, and receipts continue to reach you.
Check Agent status
Once you delegate an application, you will see the live status of the Cledara Agent:

| Not managing | No Cledara Agent is managing this application at the moment. |
| Confirming | Setting up credentials and verifying access for Cledara Agent. |
| Managing | Cledara Agent has access and can act on delegated requests. |
| Lost | Cledara Agent can no longer access this application. |
Restore lost access
If we lose access to an application, the status changes to Lost. This can happen if the credentials are reset, the user was removed or its permissions reduced, or the provider is blocking the login. You will get an email when the connection drops.
To restore access, review your user account setup, or re-invite the same email address in the application. Then, click Confirm access in the Cledara Agent tab again.
Disconnect Agent
Select Stop managing from the Cledara Agent tab to disconnect. This stops all managed actions and on-request requests for this application right away.
Stopping in Cledara does not remove the Agent's user account in your tool.
You will still need to log into the tool and disable or delete that account on your end.
Delegate actions
Once an application is managed, each action can be turned on individually. There are 2 types of actions: Managed actions and On request actions.
Delegate Managed actions
Toggle a Managed action on if you want it to run automatically whenever a trigger event occurs, rather than asking for it each time.
- Collect invoices: Triggered when your Cledara card under this application is charged.
- Update payment detailsComing soon: Triggered when your existing card is replaced.
- Review accessComing soon: Generates a report on the list of users in the account, on a regular schedule.
Delegate On request actions
These On request actions run on demand: you ask for them whenever you need them, rather than Cledara Agent watching for a trigger event.
- Add a user
- Remove a user
- Change a user's role
- Collect invoice (for transactions that took place from 15 Sept 2026 on)
- Cancel or pause a subscription Coming soon
To request one, select the action from the Cledara Agent tab. A chat form will open on the right.
Follow the Agent's prompts to provide the information needed to complete the task, then submit the request.
Assigned actions are asynchronous.
Submitting a request does not mean it happens immediately. If you need it done right now, or a deadline is close, it will be faster to do it yourself in the meantime.

Queued or being worked on. You can cancel a request from here if you no longer need it.
Waiting on something from you, for example, review user permissions.
Your history of past completed requests.
Requests that were cancelled before they were completed.
