Reports - Historical Spend is available in our Premium and Pro plans.
The Reports tab surfaces your team's historical spend and sorts it by Team, Category, and Tag in graphs and tables.
SaaS Admins and SaaS Finance can access this tab on the left panel and can export the information in CSV.
No matter if the application is active, disabled, or deleted, all pending and settled payments are included in the tables.

This section provides a comparative analysis of how each team is performing against their assigned budgets, expressed as a percentage.
- Performance Tracking: The graph uses a 100% baseline (red dashed line) to indicate when a team is exactly on budget.
- Team Comparisons: You can view multiple teams simultaneously to identify which departments are over or under their financial targets.
- Dynamic Filtering: Use the Team dropdown menu at the top of the chart to isolate a specific team's data.

Detailed Breakdown Tooltip: Hovering over any month reveals a comprehensive data table including:
- Actual Spend: The total currency amount spent by each team.
- Budget: The set limit for that team (if defined).
- Budget (%): The percentage of the budget used. Values over 100% indicate an overspend and are highlighted in red, while values under 100% appear in green.
Unassigned spend and undefined budget
Unassigned Spend
Entries labelled as "Unassigned" represent application spend that has not yet been allocated to a team.
To improve report accuracy, ensure every application is assigned to a team. You can do that in the application or budget settings.
Undefined Budgets
If a budget shows as "Not defined," it indicates that no budget has been set for that specific team.
To resolve this, you can click the "Add team budgets" button or navigate to the team's profile to set a monthly or yearly budget.
Exporting data
Use the Export button to download the percentage-based team data as a .csv file for external reporting.
Claimable VAT breakdown
The Claimable VAT Breakdown chart allows you to track and maximise the VAT you can reclaim on your software spend. Powered by Cledara AI, this feature automatically uncovers potential VAT across your transactions, providing a clear visual of what is ready to be claimed and what requires action.
The chart categorises your claimable VAT into three distinct statuses:
- Confirmed: These are transactions where the invoice has been reviewed, and the VAT amount is verified.
- Awaiting Review: Cledara AI has detected potential VAT, but it requires a manual validation to ensure accuracy.
- Missing Invoice: These are transactions where an invoice has not yet been uploaded. As an invoice is required to claim VAT, these amounts remain "unconfirmed" until the document is provided. While we sweep and match your software invoices automatically, you can also upload them manually.
Working with the Invoice Manager
The VAT breakdown works in tandem with the Invoice Manager. As you validate VAT in the Invoice Manager, your VAT Breakdown chart will update in real-time, moving those amounts into the "Confirmed" category.
Exporting data
For deeper analysis or to share data with your accounting team, you can use the Export button at the top right of the section. This allows you to download the full breakdown of claimable VAT by transaction in a CSV format.
Historical spend including Teams
This section provides a granular breakdown of monthly expenditures categorised by the different teams in your workspace.
- Team-Based Breakdown: Each bar in the chart represents a month, with segmented sections for individual teams.
- Detailed Insights: Hovering over a month reveals a tooltip listing every team's specific spend and the total combined expenditure for that month.

FAQs
Why are there negative values?
In the spend tables, money spends are shown in positive values, while refunds are shown in negative values.
What happens if an application is assigned to multiple teams?
If you have an app with several teams assigned, by default, we allocate 100% of the spend to the first assigned team.
For example, your Airmeet application is assigned to Marketing and Success. Airmeet’s spend will be added to Marketing’s Historical spend graph, but not to Success.
That said, Admins, the Application Owner, and the Team Manager can assign the percentage under Budget allocation, which can be found in either Budget details or Subscription details in each subscription's Overview tab:
